Outdoor Travel has been in operation since February 1992 and has more than eighty years of combined staff experience in the recreational vehicle industry, in both rentals and sales.
 
We are located on a major highway directly across from Lake Ontario, situated between Toronto’s International Airport and Niagara Falls.

Outdoor Travel Rental Terms for travel between 01-Jan-2009 and 31-May-2011

Rates
These rates are for foreign visitors only and are not applicable to residents of Ontario, Canada.

Sales Tax
All charges are subject to 5% Goods and Services Tax and 8% Provincial Tax.

Hours of Operation
Monday to Saturday, 0900—1700. Closed Christmas Day, Boxing Day and New Year’s Day.

Minimum Rental
There is a minimum rental of seven days in any season.

Payments
Calculation of rental charges is based on the number of nights rented in the various seasons. Client vouchers will be provided upon request.

Initial booking deposit is taken at time of booking confirmation.  This amount is itemised on your final breakdown of pricing. Total remaining payment is due 35 days before departure. Some charges may be payable upon vehicle pick up and will be itemised as such where applicable. If not paid when due, we reserve the right to cancel reservation. Payment is to be made using Visa or Mastercard only.

Pick Up and Return
Vehicle pick up time is 1300—1600 hours. Vehicle return is 0900—1100 hours. Customers will receive a complete orientation on the use of the vehicle. We provide free storage of luggage, airline tickets and other valuables at owner’s risk. The individual(s) signing the contract and credit card must be present in person at the time of vehicle pickup and the following items are required: any remaining rental balance payment, credit card (for security deposit and damage not covered by CDW), and driver’s license for all individuals driving the vehicle (a copy will be taken). Our rental department is closed on
Sundays (and Saturdays in off peak season, unless special arrangements are made). No security deposit will be returned until the rental vehicle is checked back in by Outdoor Travel Rental Staff (as volumes and staffing varies this may be some time after the date of return). If extra charges are incurred, or if damage has occurred, the added costs will be charged to the security deposit and the open credit card authorization. The vehicle must be returned in the same condition as dispatched, with the fuel
tank filled and holding tanks empty or added charges will apply. There is no refund should the client return the vehicle earlier than the scheduled drop off date. Penalties of a minimum $50.00 per hour are charged for late returns.

Transfers and International arrivals
International clients must stay overnight in a hotel on their first night after arriving from overseas.  We will not allow international inbound clients to drive our vehicles on the same day as their arrival. We recommend clients to telephone before the morning of pick up to schedule their transfer time.  We offer a complimentary transfer service from Airport area hotels back to our depot where you will pick up your vehicle.

Preparation Fee
The preparation fee includes KOA Directory, KOA Discount Card, transfers, first tank of propane, toilet chemicals, 30/15 amp adapter, sewer hose, water hose, dust pan, broom, stove lighter and vehicle demonstration.

Frying pan, 3 pots with lids, kettle, tea pot, two knives, tongs, oven mitts, measuring cup, spatula, can and bottle opener, salad bowl, coffee maker, juice jug, 2 wooden spoons, colander, vegetable peeler, corkscrew, slotted spoon, 2 dish cloths, salt and pepper shakers, 2 dish towels, utensil tray, clothes hangers, serving spoon, waste basket. Kit Items Per Person: 2 sheets, pillow slip, pillow, blanket, face cloth, cutlery, dinnerware, coffee cup, tumbler, bath and hand towel.

Generator Use

$5.00 per hour.

Extra Kilometers
The base rental rate includes 100kms free per day. Customers can either pay for additional kilometres travelled at a rate of  $0.29 per km for Class C Motorhomes or $0.32 per km for Class A Motorhomes at the end of the rental, or purchase prepaid kilometre packages at a discounted rate of $200 for blocks of 1000kms.  Please also note that any unused pre-purchased kilometres are not refundable.

Security Deposits
A valid credit card must be provided at rental check out. If a client purchases VIP Collision Damage Waiver (CDW), a minimum security deposit of $1000 for Class C, and $2,000 for Class A and B rentals will be charged to their credit card account at pick-up. For all rentals, a signed open credit card authorization will be taken at departure for the purpose of recovering additional rental expenses and any damage or accidents which are not covered by CDW. [Note: If groups are renting to attend events such as football games, car races, festivals, etc., security deposits may be required from all occupants of each rental vehicle.] If clients do wish to purchase VIP CDW, and wish to provide their own coverage, they must present a written approval from their insurer, in a form acceptable to Outdoor Travel, stating their coverage for motorhome rentals is not capped at a rate lower than the current value of the rented unit at the time of booking which must be at least five days (not including weekends and legal holidays) before vehicle pick-up. At Outdoor Travel’s sole discretion, if all requirements are met, a minimum security deposit of $5,000.00 will be charged to client’s credit card account at pick-up.

Awning Use Deposit
Awning use is not included in the basic rental rate. However, if the vehicle is equipped with an awning, a minimum security deposit of $1,000 (if you intend to use the vehicle awning) will be charged to the clients credit card account at pick-up.

VIP CDW Coverage
Restricted only to accidents which occur on roads, provided the road is a public highway. All accidents must be police reported and include a file number for that report. CDW does not cover any accidents which occur off public highways: in campgrounds, gas stations, shopping malls, etc. Any damage suspected to be over $1,000 must be accompanied by a police report, completed by the officer at the scene. All pertinent information relating to the accident must be included in the report (i.e. license numbers, vehicles, etc.) VIP CDW Coverage offers protection against mechanical breakdown which requires more than 12 hours to repair. Incurred expenses of up to $120.00 per rental vehicle for lodging will be reimbursed if receipts are presented. VIP excludes liability and personal property, non accidental damages and interior damage. Malfunctions to radios, air conditioning, fridge, water heater, cruise control, microwave, furnace, generator, TV/DVD/VCR and all other convenience devices are not considered mechanical breakdowns.

Maintenance Responsibility
Clients are responsible for checking engine oil and coolant levels at each refueling as well a immediately reporting mechanical failures. Oil and coolant refills and all authorized repairs will be reimbursed at check-in upon presentation of receipts and replaced parts. Clients are authorized to proceed with necessary repairs up to $100.00 and should call Outdoor Travel for authorization of any repairs greater than $100.00. No repairs are to be made to television, radio, and cruise control.
Clients will be held responsible for mechanical damage due to negligence in operation and maintenance.

Fuel
Fuel is the client’s responsibility. No claims are made as to the fuel consumption of a vehicle.

Traffic Violations and Tolls
It is the client’s responsibility to pay and report for any parking/traffic violations and unpaid tolls at the time of drop off. Outdoor Travel reserves the right to apply the amount of the fine or toll to the client’s credit card after the rental is terminated along with an administration fee of $50.00

Destination Restrictions
There is no protection through CDW, VIP or VIP Plus for theft as agreed upon in the rental agreement if traveling in Montreal or Quebec City, unless the rental unit was stolen from a secured campground. No rental vehicles are permitted to travel north of Fort St. John, British Columbia, including highways 37, 97 and 35, nor north of the provinces into Nunavut or Northwest Territory or Alaska, nor south into Mexico. Traveling through Death Valley in California, USA, is not permitted from May 1st to September 30th inclusive. Traveling on the Apache Trail, east of Tortilla Flat to Roosevelt Dam is not permitted at any
time of the year. Traveling is not permitted on logging and other non-public roads.

Substitutions
Specific vehicle rental is never guaranteed; only class type. If a reserved vehicle is not available, Outdoor Travel may offer an equal or higher rated vehicle at no additional cost. If a lower rated vehicle must be substituted, our responsibility is limited to refund the difference in the retail rental rate. Should a substitute not be available, a full refund or credit towards a future rental may be offered. Outdoor Travel does not guarantee the model, year, a specific vehicle, or a functional power generator.

Cancellation Policy
The booking deposit is non-refundable. In addition to forfeiting the deposit, the following charges apply:
- More than 35 days before pickup date — No further penalties - loss of booking deposit only.
- Less than 35 - 23 days before pick-update —loss of a further 50% of all remaining rental charges
22 days or closer to vehicle pick up - Loss of 100% of all rental charges

Travel Insurance
We strongly recommend that clients ensure they take out the highest level of travel insurance. In many cases this will cover any losses incurred if you are forced to cancel your booking.

Smoking and Pets

Not permitted.

Additional Terms

The client must authorize Outdoor Travel to obtain driving and credit information about them from any source. All drivers must be over 25 years of age, have a valid driver’s license in good standing and be licensed for more than 5 years. Only approved drivers may drive the vehicle or CDW will not cover accidents. Forty eight (48) hours minimum (not including weekends and legal holidays) notice may be required to approve drivers. A readable copy of each of the rental driver(s) license(s) is required prior to check out. If required, the customer must present a valid “Z” (air brake) endorsement. At the sole discretion of Outdoor Travel, if any of the above conditions are not met, Outdoor Travel reserves the right to cancel the rental at any time prior to departure. All renters must adhere to the rental terms and conditions of the Reservation and Rental Agreements from pick up throughout the entire rental, as well as following drop off and until final settlement of your account with Outdoor Travel. Clients must certify that the information provided to Outdoor Travel is true and correct.

The rates on this website are often heavily discounted. This is due to our negotiated rates and bulk buying power. On very rare occasions, a rate may be displayed incorrectly due to our, or a vehicle supplier's error. In such a case, if you book with us at a quoted rate that is incorrect, we will notify you of any price change and give you the option to proceed or cancel. We make every effort to keep information on our site up to date, but we cannot guarantee this website is free of errors or omissions and retain the right to update or change the information published at any time.

Liability
To the extent permitted by law we/the owners of this website will not be liable to you or to any third party (whether in contract, tort, or otherwise) for any direct, indirect or consequential loss or damage (including but not limited to any accident, injury, delay or loss of enjoyment) arising out of your reliance upon information contained on this website, including but not limited to your use (or inability to use) any products or services described or procured through this website.

When you pick up your vehicle, you will be required to sign a rental agreement with the supplier of the vehicle. Your rental and use of the vehicle will be governed by the terms of the rental agreement and any other documentation or information provided to you by the supplier at the time you pick up your vehicle. The rental agreement is between you and the supplier and we will not be liable to you or to any third party in relation to the terms of the supplier’s rental agreement or any other documentation provided to you by the supplier at the time of pick up.

While we will make reasonable efforts to ensure we are representing only reputable suppliers, we make no warranty about the fitness or suitability of any third party (supplier) product or service and will not accept responsibility for the quality or fitness of any vehicle. We welcome feedback from our customers on their experience with our suppliers. We may, at our discretion, provide you with reasonable assistance in resolving any dispute you may have with a supplier.

Our total liability to you in relation to your use of this website and the information contained on this website will not exceed the dollar amount of the deposit we have received from you in relation to your booking/rental. Refunds will not be made for bookings cancelled due to inclement weather. Again, we strongly recommend that you take out travel insurance. Your use of this website is governed by the laws of New Zealand and the jurisdiction of the New Zealand courts.

Booking information
To make a booking you must complete our booking form which is easy to follow and secured with the latest encryption technology. Once we receive your form, we will, subject to availability, confirm your booking by emailing you a confirmation voucher and invoice. The deposit required to secure your vehicle (as shown on the secure booking page) will only be processed on your credit card when your booking is confirmed. Please note that a 1.75% credit card charge will be added when your payment is processed.

A booking is confirmed when you have been emailed a confirmation voucher and at this stage the deposit is processed on your card and becomes non-refundable and any cancellation fees stated in the supplier's terms apply. Upon receipt of your confirmation, please check your details carefully and notify us immediately if there are any incorrect details, as it may not be possible to make changes at a later date.

If you are booking via phone, please make sure you have read the terms and conditions of the vehicle you wish to rent first. Our reservations consultant will ask you if you have read the terms and agree to them before proceeding. The onus is always on the renter to ensure they make themselves fully aware of the terms displayed on our website.

Information disclosure
In booking on this website you acknowledge that we disclose your information to your selected Supplier in order to provide the requested rental services.

Amendments
Please note that some suppliers treat an amendment as a new booking and apply the rate current at the time the amendment is made to recalculate the entire booking amount (not just the days changed). If the rental period is increased, an additional deposit may be required. If the rental period is shortened which results in a reduction of the rental charges, the deposit amount will remain unchanged, and the difference between the original and revised deposit is forfeited (it cannot be used towards remaining rental charges). To request a change to a confirmed booking, please use the alterations request link on your confirmation. Any alterations are subject to availability and the approval of the supplier. In addition to the alteration policy of the supplier stated in their terms, the following charges will apply:
Car rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 25.00
To add or remove extras to/from a confirmed booking: 10.00
Motorhome rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 75.00
To add or remove extras to/from confirmed booking: 20.00
The alteration fee will not be charged if your alteration request is not possible.

Vehicle Capacity and fitness to drive
Under no circumstances are you permitted to carry more passengers than the vehicle you rent is legally registered to carry, and if you do your insurance may be invalidated. The number of seatbelts (and passengers) is indicated next to each vehicle on this website. Luggage capacity where shown is an indication only and we will not be responsible should you be unable to fit your entire luggage into a vehicle. It is your responsibility to choose a journey that is within your capabilities. A vehicle supplier can refuse to rent a vehicle to any person who is in their opinion unfit to drive or does not meet eligibility requirements. In such circumstances we will have no further liability to you.

For Hamilton Airport and Hamilton area, clients can call either "Hamilton Cab" or  "Blue Line Taxi" to book a transfer service and tell the taxi company to bill the trip to Outdoor Travel's account (The contact phone number will be given on booking confirmation). Taxi will drop the clients to the physical depot of Outdoor Travel. Once a client arrives, the taxi driver will have an Outdoor Travel Representative sign off and the Taxi company will invoice Outdoor Travel directly to the transfer.

Transfers are also offered back to Hamilton Airport Terminal, Airport  and Hamilton area hotels after vehicle drop off.

Hamilton Intl Airport - YHM depot

Hamilton Intl Airport - YHM is a serviced non depot location.

Hours of Operation

Airport Transfers and International arrivals

International clients must stay overnight in a hotel on their first night after arriving from overseas.  Outdoor Travel will not allow international inbound clients to drive their vehicles on the same day as their arrival.  

Outdoor Travel offers a complimentary transfer service from Airport area hotels back to their depot where you will pick up your vehicle. For Toronto Airport area, clients can call "Uniglobe" limousine service to book a transfer service and tell the taxi company to bill the trip to Outdoor Travel's account (The contact phone number will be given on booking confirmation). Taxi will drop the clients to the physical depot of Outdoor Travel. Once a client arrives, the taxi driver will have an Outdoor Travel Representative sign off and the Taxi company will invoice Outdoor Travel directly to the transfer.

Transfers are also offered back to Toronto International Airports as well as Airport area hotels after vehicle drop off.
Please note:  There are no complimentary transfers offered from Downtown Toronto to the Outdoor Travel depot  or vice versa.

Toronto Intl Airport - YYZ depot

Toronto Intl Airport - YYZ is a serviced non depot location.

Hours of Operation
Monday to Saturday, 0900—1700.  Closed Christmas Day, Boxing Day and New Year’s Day.

Pick Up and Return

Vehicle pick up time is 1300—1600 hours.
Vehicle return is 0900—1100 hours.

Customers will receive a complete orientation on the use of the vehicle. We provide free storage of luggage, airline tickets and other valuables at owner’s risk. The individual(s) signing the contract and credit card must be present in person at the time of vehicle pickup and the following items are required: any remaining rental balance payment, credit card (for security deposit and damage not covered by CDW), and driver’s license for all individuals driving the vehicle (a copy will be taken).

Our rental department is closed on Sundays (and Saturdays in off peak season, unless special arrangements are made). No security deposit will be returned until the rental vehicle is checked back in by Outdoor Travel Rental Staff (as volumes and staffing varies this may be some time after the date of return). If extra charges are incurred, or if damage has occurred, the added costs will be charged to the security deposit and the open credit card authorization.
